About b-Trip

b-Trip is a web service that finds business trips in your Google Calendar events and creates per-diem travel expense reports (PDF). It saves you from going back through your calendar at the end of each month and re-entering your trips into an expense report.

b-Trip is designed for companies that handle per-diem travel expenses with a small team. Accounts are issued by the operator to each contracted company.

How it works

  1. Connect your calendar. b-Trip connects to Google Calendar with read-only permissions.
  2. Review trip candidates. Using the tags, colors, keywords and locations in your events as clues, b-Trip lists the events that look like business trips. It also shows the straight-line distance from your starting address to each destination, and whether the trip is a day trip or includes an overnight stay.
  3. Confirm your trips. You decide, one event at a time, whether it is a business trip. b-Trip never adds an event to an expense report on its own.
  4. Issue the expense report. b-Trip creates a travel expense report (PDF) from your confirmed trips and your company's per-diem rates. Issued reports can be retrieved later from a list.

How b-Trip handles your Google Calendar data

This section explains what b-Trip reads from Google Calendar, what it uses the data for, and what it stores.

Permissions requested
Two permissions: one to read events (calendar.events.readonly) and one to read your list of calendars (calendar.calendarlist.readonly). Both are read-only.
What is read
Only your list of calendars, and the events in the calendar you select for the month currently shown on screen.
Fields received
Each event's ID, title, location, date and time, color and visibility, plus whether a meeting room is booked and whether a video meeting is attached. b-Trip does not receive event descriptions (notes), attendees' names or email addresses, or video meeting links. Visibility is used to leave private events out of the list; the meeting room and video meeting information is used to keep internal meetings out of trip candidates.
Writing
None. b-Trip never creates, modifies or deletes events.
How the data is used
Only to extract trip candidates, display them in a list, and calculate the distance to each destination and the per-diem amount. It is never used for advertising.
Data flow
Events are read directly from Google by your web browser. However, to look up the destination address, the text in an event's "location" field is sent through our server to Google's mapping service. Our server does not store this text.
What is stored
Only information about the events you act on in b-Trip: events you sort as a day trip, an overnight trip or not applicable (title, location, date and time, destination and calculated amounts), events whose destination you set (event ID and destination only), and events you add to the list (event ID only). Events you do not act on are not stored.
Data protection
All communication is encrypted with TLS, and stored data is encrypted at rest on Google Cloud. The access token used to read your calendar stays in your web browser: it is never sent to or stored on our servers, it expires in about one hour, and b-Trip does not obtain refresh tokens. The token is discarded when you sign out. Stored data can be read and written only by the signed-in user.
Human access
No one reads this data, except where required by law, where necessary to investigate security issues, where necessary to respond to your inquiries, or with your consent.
Third parties
Information obtained from your calendar is never provided or sold to third parties, other than the transmission to Google's mapping service described above to look up addresses.
Revoking access
You can revoke access at any time from your Google Account's permission settings (Third-party apps & services).

b-Trip's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. For details, see our Privacy Policy (in Japanese).

Signing in

You sign in to b-Trip with a b-Trip account, using an email address and password. You do not sign in with your Google Account. Google is used only to grant permission to read your calendar.
